How do I log into the online scheduling system?
To access the Sacred Heart of Jesus Ministry Scheduling online system, go to https://secure.rotundasoftware.com/l/web-terminal/login/hsv_sacredheart  (bookmark this page in your browser for quicker access).

Log in with the username and password sent to you by email.  If you have forgotten your username or password, click on Forgot your username or password? on the login page.



How do I request a substitute if I can’t serve on a date I was scheduled?
Log into the online scheduling system.

Click “My Schedule” to view the dates for which you are scheduled.
  • Click “request sub” next to the date for which you are unable to serve.
  • A sub request email will be sent to volunteers qualified to take your place.


How do I know if my sub request was filled?
You will receive an email from the scheduling system if someone volunteers to sub for you.



What do I do if my sub request was not filled?
If your sub request has not been filled by 3 days before you are scheduled to serve, please find a sub by calling or emailing other volunteers:
  • Access the online scheduling system using the instructions above.
  • Click “Rosters” to view contact information for other people in your ministry.


What do I do if I don’t want to receive sub request emails?
  • Log into the online scheduling system
  • Click “My Profile”
  • Uncheck the box next to “Send me emails when people request swaps I can accept”
  • Click “Submit” at the bottom


What do I do if I no longer want to be scheduled on future schedules?
If you want to “take a break” and will return in the near future:
  • Log into the scheduling system
  • Click “My Profile”
  • Click the box next to “Make me inactive for now”
  • Click “Submit” at the bottom


I updated my information online and went in to check it and it was not updated, why?
  • You may have forgotten to click “Submit” after you finished entering your changes.
  • You will not see your changes until after we have processed your information; this may take one or two business days after you submit your information.


I did not “sign up” to serve this scheduling cycle but was scheduled anyway, why?
The scheduling system will schedule you unless you are inactive or listed as “sub only”. If you don’t want to be scheduled, you must make yourself inactive, designate yourself as “sub only”, or ask us to remove you from the system.



Why was I not scheduled to serve in a ministry in which I am active?
  • If you have many “can’t serve” dates or a large block of time designated as “can’t serve”, the system probably did not find any open dates for which to schedule you.
  • The scheduling system will schedule you first for the ministries which have the greatest need, so you will be scheduled more often in ministries where you are most needed and less often (or not at all) in ministries with less need.
